This policy sets out how we use and protect any information you give us on this website or when you visit our venue at Hedge End. Where we ask you to provide information by which you can be identified, it will only be used in accordance with this policy. Your use of the website signifies that you have read and understood this Privacy Policy.
Who is responsible for your information
Joy in Golf II Limited is the data controller, which means we are responsible for deciding how your personal information is held and used.
Information we collect
We only collect the information we need to respond to you and run the venue. Depending on how you interact with us, this may include:
- Your name
- Your email address
- Your phone number
- Any message or details you choose to include in an enquiry
When you book tickets or a party online, your booking and payment are handled by our booking provider, Roller. When you browse the site we may also collect limited technical data (such as your IP address and device or browser type) through cookies, if you accept them.
How we collect it
We collect information when you:
- Submit our contact or enquiry form
- Sign up to our newsletter
- Book tickets or a party through our online booking provider (Roller)
- Browse the website (limited technical data, via cookies you have accepted)
Our contact and newsletter forms are processed by Web3Forms, which forwards your submission to us by email. Online bookings and payments are processed by Roller. These providers act on our behalf and are required to keep your information secure.
What we do with it
We use your information to:
- Respond to your enquiries and provide the services you ask for
- Manage your booking
- Send you marketing (newsletters, offers and news) where you have asked us to
- Understand how the website is used so we can improve it
We will only use your personal information where the law allows — most commonly to perform a contract with you, to comply with a legal obligation, or for our legitimate interests where these do not override your rights.
Marketing
If you have given consent, we’ll send you marketing emails about our latest news, offers and events. Every marketing email includes an unsubscribe link, and you can opt out at any time. Enquiring through our contact form does not automatically add you to our marketing list.
The Mighty Birthday Club
The Mighty Birthday Club is a free reminder service. If you join — through the form on our website or by scanning a card at our venue — we use your details to remind you before your child’s birthday and to help you book a party, through the channels you choose.
What we collect. Your first name and email; your mobile number if you ask for text or call reminders; your child’s first name and birthday (the day and month, and the year only if you choose to give it); and the contact methods you agree to.
Why, and our lawful basis. To send the birthday reminders and offers you ask for, on the channels you tick. Our lawful basis for these messages is your consent, which you can withdraw at any time.
Your child’s information. We hold as little as possible about your child — their first name and birthday only — purely to personalise the reminder. You, the parent or guardian, are our point of contact, and we handle this information with the ICO’s Children’s Code in mind.
The automated voice call. Only if you tick the separate ‘automated voice call’ option may we contact you using an automated or AI voice system, operated by our technology partner VAVA Voice, to remind you and help you book. We rely on your specific consent for these calls — this is the lawful basis under both the UK GDPR (Article 6(1)(a)) and the Privacy and Electronic Communications Regulations 2003 (Regulation 19, which governs calls made by automated calling systems). The option is separate from the others, and you can withdraw it at any time, after which we will stop.
Who processes your information. These providers act on our behalf under contract; we never sell your data or share it for anyone else’s marketing:
- Notion (Notion Labs, Inc., United States) — stores the Birthday Club list. As this transfers your information to the United States, which has no UK adequacy decision, it is protected by the EU Standard Contractual Clauses as extended to the UK by the UK International Data Transfer Addendum, under Notion’s Data Processing Addendum.
- Brevo (Sendinblue SA, European Union) — sends the reminder and offer emails.
- VAVA Voice — runs the reminder and booking calls.
- Roller — handles any booking and payment you make.
How long we keep it. We keep your Birthday Club details for up to 10 years, or until you opt out — whichever is sooner — after which we delete them. We review what we hold periodically.
Your choices. Every message carries a way to opt out — an unsubscribe link in emails, ‘STOP’ to texts — and you can ask us to stop at any time by emailing southampton@mightyadventures.com. Opting out stops all reminders. Your other rights are set out under ‘Your rights’ below.
Cookies
We use cookies to make the site work and, with your consent, to understand how it is used. When you first visit, a banner lets you accept or decline analytics cookies. If you accept, we use Google Analytics 4 (with IP anonymisation) and the Meta (Facebook) Pixel; if you decline, these are not loaded. For full detail, see our Cookie Policy.
Data security
We take reasonable physical, electronic and managerial steps to keep your information secure. No transmission over the internet can be guaranteed completely secure, so any transmission is at your own risk. If you ever have concerns that your information has been put at risk, please contact us straight away.
Sharing your information
We will never sell or rent your personal information. We share it only where necessary to provide our services — for example with the providers named above (Web3Forms, Roller, Google and Meta) — and with law enforcement or fraud-prevention agencies where required by law. We may share aggregated, anonymised data that does not identify you.
Children’s privacy
This website is directed at parents and guardians. We do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, please contact us and we will delete it.
Your rights
You have the right to:

- Ask us to delete your data (where we are not legally required to keep it)
- Object to or restrict our processing of your data

How long we keep it
We keep your personal information only as long as necessary for the purposes we collected it for, including any legal, accounting or reporting requirements.
